Behind the Scenes: How We Helped a Nonprofit Save 20+ Hours a Week

Nonprofits don’t have time to waste. When your mission is urgent and your team is stretched thin, every hour matters.

One of our clients, an amazing nonprofit focused on community wellness, came to us overwhelmed. Their staff was passionate and committed, but internal operations? Total chaos. Meetings ran long, tasks were missed, and team members constantly duplicated work.

Here’s how Aujedi Consulting stepped in and helped them reclaim 20+ hours every single week.

The Challenges

Before we got started, here’s what the team was experiencing:

  • No centralized project management system - everyone kept their own to-do lists in email or Notion

  • Redundant processes - multiple people doing the same work without realizing it

  • Delayed deliverables - program launches and reports kept getting pushed back

  • Lack of accountability - no one was quite sure who owned what

They didn’t need more people. They needed more structure.

Our Approach

Step 1: Asana Implementation
We built out a project management system in Asana tailored to their needs, including:

  • Templates for recurring campaigns

  • Clear task assignments and deadlines

  • Custom dashboards to track grant progress, program milestones, and internal goals

Step 2: SOP Development
We created living Standard Operating Procedures (SOPs) for:

  • Client onboarding

  • Monthly reporting

  • Internal communications

  • Team check-ins

Step 3: Role Clarification + Workflow Mapping
We helped leadership map out who should do what—and where handoffs were happening. This dramatically reduced back-and-forth.

The Results

  • 20+ hours per week saved across team members

  • Faster turnaround times on grant reporting and campaign launches

  • Increased staff confidence and ownership of tasks

  • Reduced stress and burnout, especially among program leads

And most importantly, they were able to shift their energy back to what really mattered: delivering impact to their community.

In Their Words

“I feel like I can finally breathe. This system gave us our time and sanity back.”
- Program Director, Client Organization
